Body-Worn Camera (BWC) Policy

  1. Purpose

This policy outlines the lawful and appropriate use of body-worn cameras (BWCs) by Aura Security Services & Event Support Ltd to:

  • Enhance safety of staff and the public
  • Prevent and de-escalate incidents
  • Provide accurate evidence where required
  1. Legal Framework

This policy complies with:

  • UK GDPR
  • Data Protection Act 2018
  • Human Rights Act 1998
  • ICO Surveillance Camera Code of Practice
  1. Lawful Basis for Processing

Aura processes personal data under:

  • Legitimate Interests (security, crime prevention, staff protection)

A Data Protection Impact Assessment (DPIA) has been completed.

  1. When Cameras May Be Used

BWCs must only be activated:

  • During incidents or escalating situations
  • When there is a risk of aggression, disorder, or criminal activity
  • When gathering evidence is necessary

BWCs must NOT be used:

  • For continuous recording without justification
  • In private or sensitive areas (e.g. toilets, medical areas)
  • For casual or non-operational purposes
  1. Audio Recording

Audio recording is more intrusive and will only be used when:

  • There is a clear and justifiable need
  • The user has activated recording due to an incident
  1. Transparency

Where practical, staff must:

  • Verbally inform individuals: “You are being recorded”
  • Ensure signage is clearly displayed at venues
  1. Data Storage & Security
  • All footage must be uploaded to secure, encrypted systems
  • Footage must not be stored on personal devices
  • Access is restricted to authorised personnel only
  • All access must be logged
  1. Retention Period
  • Standard retention: 30 days
  • Footage relating to incidents may be retained longer for legal purposes
  • All unused footage will be securely deleted
  1. Subject Access Requests (SARs)

Individuals may request access to their data. Aura will:

  • Respond within one month
  • Redact third-party identities where required
  1. Training

All staff using BWCs must:

  • Receive formal training
  • Understand legal responsibilities
  • Follow this policy at all times
  1. Misuse

Misuse of BWCs may result in:

  • Disciplinary action
  • Reporting to relevant authorities
  1. Policy Review

This policy will be reviewed annually or in line with legal updates.
